XINFO software has its own invoicing module that can be used to create standard invoices for completed work.
XINFO’s Invoicing module allows for single or multiple invoices to be created for a single job. Invoice item amounts can be preset therefore enabling charging of clients to be consistent, along with the ability to create template invoices for repeat customers.
The invoices produced can be set to have all of your relevant business information such as payment terms, along with your company logo.
Payments can also be processed against the invoice.
Specific invoice reports to manage the invoice process are provided along with further finalncial reports to assist in the business decision making.
All invoices raised in XINFO software can be exported to MYOB, XERO and QuickBooks.
Exporting invoices to MYOB / XERO / QuickBooks reduces the duplication of accounting work as staff working on the job can charge accordingly and therefore the reliance on the accounts person to complete is reduced.
XINFO software allows the user to issue building permits and approvals using your permit/approval template.
Permits can be edited like a Microsoft Word document to ensure all aspects of the building permit are correctly described. Multi stage permits are easily managed. Multiple Occupancy Permits and Final Inspection Certificates can be issued on one job which reduces the risk of buildings being used when not signed off correctly. Certificates for commercial projects can include a list of essential service inspections.
Book mandatory permit/approval inspections and allocate them to your inspectors.
Our booking system allows you to give your inspector specific instructions on what is required. You can also tell them who they need to contact prior to going on site if required.
Each inspector can have their own list of inspections and you can configure XINFO to enable them to log in remotely to view their inspections.
All bookings and cancellations are recorded against each individual job in the main program.
Import PDF files and apply an unlimited number of your own stamps. eg Permit Approved, Termites etc
XINFO’s Building Information Manager has functionality to set budget time and dollar amounts and record time expended on a job.
The following concepts apply to the time sheet and budget functionality:
- A job is made up of a number of tasks
- Tasks are any activity you want to measure
- Each job can have an overall budget
- Each task can have a budget for all jobs or a specific job
- Each staff member can have a cost and charge out rate for all tasks, a specific task, all jobs, or a specific job.
A wide range of reports can be generated to show if the job is on budget.
XINFO can generate time sheets for all staff.
A separate application can be included for quickly recording a user’s time as they change from job to job. This stays in the Windows system tray in the bottom right corner of the screen. Discreet, but always available.
Many councils are requesting application and payment for Section 80, Section 30 etc are made using the council website.
The XINFO Council submit module automates this function by transferring data already entered in XINFO to the website form. Eg site address, works description
Transfer information about each job and documents you complete up to your website so that your clients can “self-serve”.
Inspectors can also login to web job track and view their jobs for that day and view all relevant documents .

To reduce your administration overhead, your customers can create a permit application using an online form. All this data can then be copied and pasted into XINFO in a single step, automatically creating a new job and importing any attachments.
An example of a form can be found here: https://www.xinfo.com.au/online-application/
This form would be embedded in your website and can be customised for your requirements.
Used to record inspections for non permit jobs.
Examples:
- Pre demolition
- Liquor license
- requested from other building surveyors.
There can be multiple retyping of information to accurately record onsite inspections and create an inspection report for your customer.
This module provides the following functionality:
- Can be used by internal or external inspectors.
XINFO Onsite inspections application displays the required inspections and the prepopulated report template to be used for each inspection
The inspector enters the inspection information and emails the report back to your office
